Planning is meant to reduce decisions. It can become overwhelming when too many locations, categories, and rules need attention at the same time. The answer is not always more discipline. Often, the system needs fewer active decisions.
Planning and doing are different kinds of work
Planning involves judging deadlines, duration, sequence, energy, and dependencies. Doing requires a visible next action. When both happen at the same time, every task becomes a small planning session.
Choose a short moment for decisions and give it a visible ending. After that, the daily view contains only the selection you made. New thoughts may go into an inbox without forcing you to rebuild the current day immediately.

Too many inputs create invisible coordination work

Give each kind of information one reliable home. Appointments stay in the calendar. Actionable work stays in a task list. The daily plan shows only what matters from both sources today. A single daily view can connect the pieces without duplicating them everywhere.
A beautiful system may require too much maintenance
Colours, subpages, tags, and views can provide orientation. They can also create more rules: Which colour? Which project? Which view is authoritative? If sorting takes more time than finding the next step, the structure may be too detailed.
Remove one layer rather than replacing the entire system. For example, use only three states: collected, chosen for today, and complete. Bring back another category only when it answers a question that genuinely appears often.
The plan is trying to remove all uncertainty
Sometimes planning continues because starting still does not feel safe. Another list and another time block are supposed to guarantee that nothing will go wrong. That point rarely arrives because a real day cannot be completely predicted.
Set a planning limit instead: stop after ten minutes or after choosing three tasks. Not every open question needs an answer. One next action is enough to gather new information from doing the work.
Moving between apps costs more than one click
Every switch requires orientation: Where am I? Which list is current? What was I trying to do? After an interruption, the connection can disappear even though all the information still exists.

- Which one task has a real consequence if it waits?
