Time buffers: work backwards from arrival to your first step
A 10 am appointment does not tell you when to start getting ready. Separate preparation, travel and a buffer with a specific purpose. Calculate the start time by hand and compare your estimate with what actually happened. This worksheet does not calculate times or set alarms.

How to use the worksheet
Give your buffer a clear purpose
Separate arrival from appointment time
Check check-in, meeting location and access. Decide the required arrival time before subtracting durations and the buffer.
Estimate each stretch separately
Record preparation and travel separately. Add a buffer for a specific reason and avoid counting it again in every stretch. Check the arithmetic carefully when crossing an hour.
Short version: arrival, travel, preparation
When capacity is limited, record the target arrival, necessary stretches with a buffer and the start time you calculate by hand. Add any needed reminder to your existing system yourself.
Observe rather than adding more time everywhere
Compare each estimate with what actually happened and change the relevant part. If the plan no longer fits, agree on an alternative; the worksheet does not notify anyone of a delay.
A completed example
Example: arriving before a 10 am appointment
Fictional example for illustration. Adjust times, tasks and responsibilities to your circumstances.
- Appointment and target arrival
- Appointment at 10 am; arrive at 9:50 am to allow for check-in.
- Preparation and travel separately
- Prepare documents and bag: 15 minutes. Travel to the entrance: 25 minutes. Check-in is already accounted for in the 9:50 am arrival.
- Buffer and its specific purpose
- Add 10 minutes for possible delays on this journey. These are editorial example values, not a general recommendation.
- Start time calculated backwards
- 9:50 minus 25 minutes travel minus 10 minutes buffer = leave at 9:15 am. Minus 15 minutes preparation = start at 9 am.
- If the plan no longer fits
- If leaving at 9:15 is no longer possible: notify the contact of a possible delay and agree on a suitable alternative. Do not rush past necessary steps.
- Actual timings and adjustment
- Afterwards record: preparation actually took 20 minutes, travel 25; arrival at 9:45 am. Allow 20 minutes preparation for the next comparable appointment rather than extending the journey estimate across the board.

Common questions
How large should the time buffer be?
