Check a new task request before committing
A new request needs a clear outcome first. Record what is wanted, which details are missing and what existing work would be affected. Check your own plan before offering scope and timing. A requested date remains a request until the necessary discussion has taken place.

How to use the worksheet
Turn a request into a clear next step
Clarify the outcome before duration
Ask what should exist at the end and what is excluded. Record missing material and requested timing separately; an unknown duration remains an estimate.
Check existing work yourself
Review appointments, preparation, travel and promised outcomes. The worksheet reads no calendar. A blank slot is not automatically free; another commitment does not move silently.
Short version: outcome, time, commitment, reply
Start with these four details. For an unclear assignment, propose a limited clarification step. This also needs room and discussion.
Record the reply with a clear status
Distinguish questions, proposed scope and an actually confirmed task. Note your own check time; agreed urgent procedures still apply. Copy or print before closing.
A completed example
Example: a new slide check alongside an existing commitment
Fictional example for illustration. Adjust times, tasks and responsibilities to your circumstances.
- What outcome and scope are requested?
- Fictional: check three existing presentation slides for clarity; do not create new slides or revise the whole presentation.
- What material or details are missing?
- The current file is not available yet. Alex asks for the correct version and its location in the approved project folder.
- What time is requested or already agreed?
- Friday noon has been requested. Alex has not accepted this time for the new task; the required material is missing.
- Which commitment and work slot would be affected?
- Thursday is reserved for Sam’s report by 4 pm. Friday after the team meeting has room for a limited material check, not yet for the entire assignment.
- Who needs to clarify which question or priority?
- Alex asks Sam whether an initial material check on Friday fits. If the slides are needed earlier, the responsible people need to clarify priority.
- My reply, status and next check
- Proposal: check the material after the team meeting and then give a possible delivery time. The proposal remains open until discussed. Short version: outcome, time, affected commitment, next reply.
