Move from a read message to a prepared reply
You have read a message but need to check something or ask a question before replying. Note the right thread and one concrete preparation step. Keep agreed response times separate from your own check time. A draft has not been sent; a sent reply is not yet shared confirmation.

How to use the worksheet
Keep reading, preparation and sending separate
Record the thread and question
Choose one incoming message that actually needs a reply. Note a clear reference and question; confidential content remains in approved tools.
Choose the first preparation action
Name a material check or question rather than just writing “reply”. Plan this work separately from composing and sending. The worksheet reads no inbox.
Short version: thread, question, action, check time
These four details are a small starting point. Check actual response expectations and urgent channels first; your own check time does not change them. Do not turn notifications off indiscriminately.
Check the reply and update status yourself
Check recipient, content and attachments in the intended communication tool. Record “sent” only after actual sending. Pending approval stays open; copy or print before closing.
A completed example
Example: the scope needs clarification before replying
Fictional example for illustration. Adjust times, tasks and responsibilities to your circumstances.
- Which thread and person?
- Fictional: Sam’s message about reviewing the draft together. Keep a clear reference in the agreed work location rather than copying confidential conversation details.
- What specific question should I answer?
- Sam asks whether the draft will be ready for a shared review on Thursday. Do not automatically promise extra revisions.
- What do I check first, and where is the material?
- First clarify the open scope with the responsible person. The draft is in the approved project folder; the requirement remains open.
- Response agreement, urgent channel and own check time
- Alex checks the actual response agreement. The personal check time is after the team meeting; it does not replace an agreed response time. Use the agreed urgent channel if earlier discussion is needed.
- Reply content or a point still needing clarification
- Possible interim reply after checking the agreement: “The scope is still open. I will clarify it after the team meeting and then get back to you about timing.” This does not confirm Thursday.
- Prepared, sent, confirmed: what is actually true?
- The note is prepared, not sent. Before actual sending, check recipient, question, details and needed attachments. Keep any required approval open. Short version: thread, question, next action, check time.
