One document, one location, one next action
Take one letter or form rather than the whole pile. Record what it concerns, where the original is and what you can do next. Keep details from the document separate from your own review time. This worksheet is a working note; the original remains your reference.

How to use the worksheet
Follow one document from reading to the next action
Choose one document and note its location
Start with one document. Give it a short label and record its location rather than copying everything. The worksheet has no file storage or upload feature.
Clarify the task in the original
Check what action is actually requested and what details are explicitly stated. Mark unclear requirements as questions and clarify them with the responsible contact. The note does not assess legal obligations.
Short version: label, location, next action
If the whole process is too much, read one section first. Record the location and an actionable next step. A smaller start does not change any requirement or deadline stated in the original.
Update progress after each session
Record what is done, what you are waiting for and when you will check. Return the original to the noted location. Copy or print your note before closing.
A completed example
Example: read an invitation and record one open question
Fictional example for illustration. Adjust times, tasks and responsibilities to your circumstances.
- Document and filing location
- Fictional invitation to a neighborhood gathering. The original is in the “in progress” folder; this note holds only an organizational summary.
- Next action needed
- Read the attendance instructions and identify the requested response. Prepare an answer after clarifying what is needed.
- Detail in the original and its meaning
- The invitation mentions Friday for a response. Check the wording and meaning in the original; my review time does not replace that detail.
- Missing information or question for whom?
- The exact meeting point is unclear. Record a question for the organizer as a separate task; it has not been sent.
- First action and personal review time
- On Wednesday at 6 pm, open the invitation and read the attendance instructions. Then check whether the question is needed. This is my work time, not a new external deadline.
- Progress, smaller version and where to resume
- After reading: meeting-point question remains open, original back in “in progress.” Smaller version: read one paragraph and record the next action. Update progress after the answer arrives.
