How to use the worksheet

See the occupied time first, then allocate tasks

1. Read the whole calendar

Add travel, preparation and transitions. An hour-long appointment often occupies more than the hour between its start and finish.

2. Separate deadlines from wishes

Mark tasks with an actual consequence or a fixed submission date. Flexible tasks remain movable for now.

3. Make capacity limits visible

Do not treat every free calendar slot as available working time. Recovery, eating and transitions are part of the real week.

4. Schedule only the selection

Give selected tasks a place. The rest stay on the list with a review point rather than compete invisibly between appointments.

In this example, the task is not squeezed into the first empty slot. The appointment, travel and expected capacity determine its place together.

Does every task have to go in the calendar?

No. Appointments and selected focus tasks need a time reference. Small or flexible tasks can stay on a list as long as it is clear when they will be reviewed.

How much buffer time should I plan?

It depends on travel, preparation, transitions and your experience. Start with a realistic estimate and adjust it after actual appointments.

Will my calendar data be transmitted?

No. There is no connection to your calendar. Entries remain in the open page and must be copied or printed if you want to keep them.
